Taking payments

Taplany separates two things that spreadsheets usually mix up: money you've asked for, and money that has moved. Once you see that split, deposits, balances and chasing all get simpler. Payments live on each booking's Payments tab, and the setup lives in Settings → Payments.

What you can offer

Which methods your customers see is your choice, set per agency in Settings → Payments under Payment methods.

  • Bank transfer and cash are always available. Add your Beneficiary name, Bank name, IBAN and SWIFT/BIC on the same page and customers paying by transfer see them on the payment page.
  • Stripe — cards and digital wallets — if you connect a Stripe account.
  • Redsys — card payments and Bizum — if your bank provides it.

Each method has a customer-facing label you write yourself, an Enabled switch, a Default on storefront switch and an order you control. Plenty of agencies run on bank transfer alone; connecting a card provider is optional. See Integrations for connecting your accounts.

Asking for money

A payment request is one ask, with its own link.

  1. On the booking, press Request payment.
  2. Under What are we asking for?, choose Outstanding balance or Custom amount.
  3. Outstanding balance works out what's still owed at the moment the customer opens it, so it stays right even if the trip price changes in between. Custom amount is a fixed figure with an optional label — useful for a one-off extra like an added eSIM.
  4. Press Create payment request.

You get a link you can copy, plus Send via WhatsApp and Send by email with the customer's details already filled in. Requests don't expire on their own. They stay open until they're paid or you cancel them — cancelling stops the link working immediately.

If you deliberately ask for more than the outstanding balance, you'll be asked to confirm before the request is created.

What the customer sees

The link opens a single page headed Complete your payment, showing which booking it's for and the amount. If you've enabled more than one method they pick one; then they either pay on the page or get your bank details and can upload their transfer receipt.

When a booking is at the deposit stage, the page offers the choice between paying the deposit and paying in full. A customer signed in to their account on your site also sees a payment summary with the total, what's paid, what's left, and a Pay now button.

Recording money that arrived elsewhere

Not every payment comes through a link. Use Record payment on the Payments tab to log a bank transfer, cash, or anything else that landed outside the system. Card and Bizum payments taken through a connected provider record themselves — never enter those by hand, or the booking will count them twice.

Every recorded or settled payment updates the booking's balance straight away, so what's paid and what's owed is never a separate calculation.

Refunds

Refunds are always a deliberate decision by a person. Nothing is refunded automatically.

Use Issue refund, pick which payment you're refunding, enter an amount (capped at what's still refundable on that payment), choose whether it goes back the way it came or out as a bank transfer or cash, and give a reason. You choose whether the customer is emailed. If a booking ends up overpaid it's flagged as a credit and waits for you.

Seeing where you stand

Earnings reports revenue against supplier cost for bookings in a date window, with profit, margin, and a column telling you how much of each booking's cost is actually invoiced rather than estimated.
