Pricing & margin
Prices in Taplany are calculated from what a trip costs you, not typed in by hand. You set the cost of each part and the margin you want; the price follows. The dials live on the trip's Pricing tab, the tier's Pricing tab, and Settings → Payments.
The basic idea
Take what your suppliers charge for a trip, add your margin, and that's the customer price. Margin is applied once, and only to what's in the package — never twice, and never to extras that already carry the price you set.
Where the margin comes from depends on how you're selling:
- Group trips take the Margin (%) on the tier, which a departure can override.
- Private trips take the Private Margin (%) on the trip, which a proposal can override.
Change a hotel's cost and every price built from it updates. That's the point of keeping costs on the catalogue rather than in the quote.
Bundled versus itemised
Two kinds of thing appear on a price:
- Bundled items — the flight, the insurance, the included activities, meals and transport. These sit inside the package price, carry your margin, and show as "included" rather than as a line with a number.
- Itemised extras — optional add-ons, a single-room supplement, a specific flight you priced yourself. These show separately at exactly the price you set: no margin added, and discounts don't touch them.
Bundle what should look included; itemise what the customer should see a price for.
Discounts
Discounts apply to the package portion, once, and never to itemised extras.
- Early bird is set on the tier or the departure with a deadline; the customer sees the countdown on their proposal.
- Named discounts are yours to invent — press Add discount in the builder, give it a name your customer will understand ("Returning client") and a percentage.
Several discounts combine into a single reduction, and the proposal shows the combined figure applied to the package.
Rooms, flights and children
- Single-room supplement is worked out automatically from the difference between a room alone and a shared room, and shown as its own line. You don't maintain it as a fixed fee.
- Child discount is a percentage on the trip, so a family quote doesn't need hand-editing.
- Flights have two settings on the trip: the net cost per person already allowed for in the package, and the margin applied when a live fare is quoted at checkout. Leave them blank and the defaults from Settings → Payments apply. On any one proposal a flight is either the package's own, a specific one you priced yourself, or excluded — in which case it shows as not included, never as a deduction.
Deposits
A deposit is a percentage you set on the tier, and you can override it on a proposal. If the departure is close enough that a deposit no longer makes sense, the full amount is asked for instead — you set that threshold in days.

Currency
Each trip is priced in one base currency, and your costs and margins are held in it. Customers see prices converted into their own currency at the moment they look; conversions are recalculated rather than stored, so your figures stay the ones you set.
Per-person prices are rounded first, then multiplied up — so the per-person figure times the number of travellers always matches the total everywhere it appears.
Why a quoted price stays quoted
When you save a proposal, it keeps a copy of the itinerary, costs and inclusions it was priced from. Somebody else editing that trip tomorrow — swapping a hotel, adding an inclusion — does not change the number already sitting in your customer's inbox. The price only moves if you edit the proposal or deliberately refresh it from the catalogue, and the same holds once a booking is confirmed.
