Your team & billing

Bring your colleagues in, give each of them the right level of access, and manage your subscription. Team management is under System → Users; the subscription is under System → Settings → Billing.

The four roles

Every person in your agency has one role. From most to least access:

  • Owner — everything, including billing, ownership and closing the agency. Owners are the only people who can manage the subscription.
  • Admin — runs the agency day to day: settings, payment configuration, message templates, and inviting and managing the team.
  • Agent — the working role. Handles inquiries, proposals, bookings, travellers and messages. Can't change agency settings or invite people.
  • Viewer — read-only. Useful for an accountant or anyone who needs to see the numbers without touching them.

Most of your team should be agents. Keep the number of owners small.

Roles also decide what appears in the sidebar, so two people can see a different admin. If a colleague can't find a page you're describing, check their role first.

Inviting someone

  1. Go to System → Users and press Invite teammate.
  2. Enter their Email and choose a Role.
  3. Press Send invitation.

They get an email with a link. If they don't have an account yet, they create one — the email address is filled in and locked to the one you invited, so the invitation can't be used by anyone else. Once they accept, they're in your agency and can switch between agencies from the organisation picker if they belong to more than one.

Invitations expire after 14 days. Pending ones are listed with who invited them and when they expire, with two actions:

  • Resend — sends the email again and resets the clock. Use this before assuming an invitation is broken; most of the time it's in a spam folder.
  • Revoke — cancels it. The link stops working.

If someone opens an invitation while signed in as a different person, they're stopped and offered a Switch account button rather than joining under the wrong identity.

Managing people

The Users page lists everyone with their role, whether they've verified their email, when they joined and how many bookings they've handled. Filter by role or by status when the list gets long.

You can change someone's role at any time. When a colleague leaves, suspend their access rather than deleting them — their history stays attached to the bookings they worked on.

New user creates an account directly, without an invitation email. Use it sparingly; the invitation flow is better because the person sets their own password.

Your trial

Your 30-day trial starts the moment you create your agency. There's no card to enter to begin it, and nothing is a demo — the trips, bookings and payments you set up during the trial are your real ones and stay with you.

Settings → Billing shows a Status of Free trial while you're in it, plus Trial ends with the date and how many days are left.

Subscription and invoices

The Subscription & billing panel is where the subscription lives. Manage billing opens a secure billing portal where you can change your plan, update your payment method and download your invoices. Status shows there as well: Free trial, Active, Past due, and so on.

Billing is limited to owners. If you need someone else handling invoices, either make them an owner or download the invoices for them.

Closing an agency

Settings → Danger holds the destructive actions, including closing the agency. They're deliberately separated from everything else and restricted to owners. Export anything you want to keep before you use them.
